This Privacy Policy explains how Bidagora LLC, a limited liability company formed in the Sharjah Media City (Shams) Free Zone, United Arab Emirates, formation number 2648605 ("Bidagora", "we", "us", "our") collects, uses, stores, and protects your personal and business information when you use our platform (the "Platform"). Bidagora is a procurement platform for event production, connecting clients who need equipment and services with vetted suppliers.
By using the Platform, you consent to the practices described in this policy. If you do not agree, please do not use the Platform.
Account information: Your name, email address, and authentication details provided through our third-party sign-in provider (currently Google via WorkOS). We do not store your Google password.
Request and brief content: The details you provide when submitting a procurement request, including event descriptions, equipment needs, dates, locations, budgets, uploaded files, and voice notes.
Supplier business information: Company name, trade licence details, proof-of-capability documentation, equipment and kit records, pricing, availability, staff details, and portfolio materials submitted by suppliers.
Quotes and agreements: Supplier-authored quotes, comparison records, choice records, bilateral agreements, and fee invoices generated by the Platform.
Payment records: Records of placement commission invoices, payment status, and bank transfer confirmations. We do not store full credit card numbers — card payments are processed by Stripe, our third-party payment provider.
Usage data: Pages visited, actions taken, timestamps, device type, browser information, IP address, and referral source. This helps us understand how the Platform is used and where to improve it.
Support communications: Messages sent to admin@bidagora.com or through any in-platform support channel.
To operate the Platform: structuring briefs, routing requests to relevant suppliers, presenting comparable quotes, recording choices, generating fee invoices, and maintaining audit trails.
To communicate with you: sending request updates, quote notifications, agreement confirmations, fee invoices, and service-related notices by email or, where opted in, by WhatsApp.
To improve the Platform: analysing usage patterns, diagnosing technical issues, and developing new features. We may use anonymised, aggregated data for analytics.
To comply with legal obligations: responding to lawful requests from regulatory authorities, tax reporting, and fulfilling record-keeping requirements under UAE law.
To enforce our terms: detecting and preventing fraud, misuse, or violations of our Terms of Service.
Clients and suppliers: When a client submits a request, relevant details are shared with matched suppliers so they can prepare a quote. When a supplier submits a quote, it is shared with the requesting client for comparison. Supplier business profiles are visible to clients during the comparison process.
Service providers: We use third-party services to operate the Platform, including Convex (database), Vercel (hosting), WorkOS (authentication), Stripe (card payments), Resend (email delivery), OpenAI (brief structuring assistance), and Sentry (error monitoring). Each provider processes data only as needed to deliver their service and is bound by their own privacy and data-processing terms.
Legal and regulatory: We may disclose information when required by law, court order, or regulatory authority, or when necessary to protect the rights, safety, or property of Bidagora, our users, or the public.
We do not sell your personal data to any third party. We do not share your data with advertisers, data brokers, or any party whose purpose is to profile, re-sell, or commercially exploit your information.
Bidagora uses essential cookies to maintain your authenticated session and remember your preferences. These are necessary for the Platform to function.
We may use analytics tools to understand usage patterns. Where analytics cookies are used, they collect anonymised or pseudonymised data.
We do not use third-party advertising cookies or tracking pixels.
Account data is retained for as long as your account is active. If you request account deletion, we will delete your personal data within thirty (30) days, except where we are required to retain records for legal, tax, or audit purposes.
Request, quote, and agreement records are retained as part of the procurement audit trail. These records may be retained for up to seven (7) years after the last activity on the request, in line with UAE commercial record-keeping requirements.
Usage logs are retained for up to twelve (12) months and then anonymised or deleted.
Access: You may request a copy of the personal data we hold about you.
Correction: You may request correction of inaccurate or incomplete data.
Deletion: You may request deletion of your personal data, subject to legal retention requirements. Deletion of an account does not remove records from procurement audit trails where other parties rely on those records.
Portability: You may request an export of your data in a commonly used, machine-readable format.
Objection: You may object to processing of your data for certain purposes. Where we process data based on consent, you may withdraw consent at any time.

We implement technical and organisational measures to protect your data, including encryption in transit (TLS), access controls, authentication via third-party identity providers, audit logging, and private-token flows for supplier communications.
No system is completely secure. While we take reasonable steps to protect your data, we cannot guarantee absolute security.
Our service providers may process data outside the United Arab Emirates. Where data is transferred internationally, we ensure that appropriate safeguards are in place consistent with applicable data protection laws.
Bidagora is a business-to-business platform. It is not directed at individuals under the age of 18. We do not knowingly collect data from children. If you believe a minor has provided us with personal data, contact us at admin@bidagora.com and we will delete it.
Bidagora operates in the United Arab Emirates and processes data in accordance with applicable UAE data protection laws, including Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data (the UAE PDPL) and its implementing regulations as they come into effect.
We may update this Privacy Policy from time to time. Material changes will be communicated via email or a notice on the Platform. Continued use after a change constitutes acceptance of the revised policy. The "Effective" date at the top of this page indicates when the policy was last updated.
